RCH 3000 Deskset Buttons

Thanks in advance to anyone who might be able to lend a hand!
We have had RCH 3000 desksets connected to Astro Spectra radios at our Fire Stations for years, but I recently received a request to add the Scan feature and it's throwing me for a loop.
The Astro Spectra is now programmed for Pirority Scanning across 6 talkgroups. I left the default Motorola control head (W9) button assignments, but none of the assignments (including Scan) work; there is a "bonk" tone when any of the buttons are pressed. The only buttons that do work are Mode, Volume and Home. I cannot find the RCH 3000 manual to understand how the RCH 3000 buttons correlate to the W9 button assignments, and upon contacting Motorola, discovered the manual is "obsolete" and can't be ordered. I did find one posting on this site that discussed how to get into the programming mode on the RCH 3000, but I wasn't able to make any positive changes no matter which programming options I tried.
Any advice on this problem would be greatly appreciated!
